System License

The System License page displays the application licensing information. ClinPlus Eclinical can be licensed either as User-Based or Study-Based. A User-Based license is where there is an unlimited number of studies, sites and subject with a limited number of users included in the license (Named Users). A Study-Based license is where there is an unlimited number of users for a given number of projects (Project Users). Administrators can globally turn off the three licensed parts of eClinical by using the Application system configuration variables, Enable CTMS, Enable EDC, Enable IWRS. At least one of these configuration variables must be set to True.

 

The Named Users tabs show who is using the licenses and the number of days since they last logged in, which provides a good indicator on whose license could be removed and freed up for another user.

 

Clicking the Update License button opens the Update License module, which provides the administrator with a mechanism to enter the new license information for continued use of the system.

Version

This field displays the current application version and is read only.

Current License

 

Status

This field displays Invalid, Active or Expired and is read only.

Edition

This field displays the type of license that was installed, either CRO or Standard edition. This field is read only. This field will be hidden if the Status field is Invalid.

Licensed To

This field displays the name of the company that is on the contract and is read only. This field will be hidden if the Status field is Invalid.

License Installed

This field displays the date that the system was installed and is read only. This field will be hidden if the Status field is Invalid.

License Expires

This field displays the date that the system will expire and is read only. This field will be hidden if the Status field is Invalid.

Licensed

This field displays the number of licensed users of the application and is read only.

Used

This field displays the number of named users of the application. The number of named users is equal to the count of Global Contacts that meet the following criteria:

  • contact must not be the built-in system administrator account

  • contact must be active

  • contacts must have a login account defined

  • login account must be active

  • Check must be in user's Allowed to Login check box

Available

This field will display the number of available licenses remaining. It is calculated by subtracting the number of named users from the number of licensed users. If the number of named users exceeds the number of licensed users then this field will display a zero.
